At Floxen Study Hours ("we", "us", or "our"), your privacy is a priority. This Privacy Policy explains what data we collect, why we collect it, and how we protect it. By using our platform, you agree to this policy.

We collect only the minimum information necessary to operate the platform:

Email address — used for account creation, login, and study reminders
Password — stored securely using industry-standard hashing (we never store plain-text passwords)
YouTube video URLs — submitted by you to start study sessions
Study session data — date, time, and video ID of sessions you complete
Notification preferences — whether you have enabled or disabled email reminders

        💡 We do not collect chat messages, payment information, location data, or any sensitive personal information.
      

2. How We Use Your Information

To create and authenticate your account
To display your personal activity history on the dashboard
To send study reminder emails (only if you have enabled notifications)
To improve platform performance and fix issues

We do not sell, rent, or share your personal data with third parties for marketing purposes.

3. Third-Party Services

Floxen Study Hours uses the following third-party services to operate:

YouTube Embed API (Google) — to display study videos inside the platform. YouTube's own privacy policy applies to video playback.
OpenAI API — to power the study assistant chatbot. User questions are sent to OpenAI for processing. Chat messages are not stored by Floxen.
MongoDB Atlas — for secure cloud database storage of account and activity data.
Gmail SMTP — to send notification and reminder emails.
Render — our hosting provider. Your data is processed on Render's infrastructure.

4. Data Retention

We retain your account data for as long as your account is active. If you delete your account, all associated data including your email, password, and activity history is permanently deleted from our database within 7 days.

5. Your Rights

You have the following rights regarding your personal data:

Right to access — you can view your activity data on your dashboard at any time
Right to delete — you can permanently delete your account and all associated data from your dashboard settings
Right to opt out — you can disable email notifications at any time from the dashboard menu

6. Cookies

We use session cookies to keep you logged in while you use the platform. These cookies are essential for the platform to function and are deleted when you log out or close your browser. We do not use advertising or tracking cookies.

7. Children's Privacy

Floxen Study Hours is intended for students of all ages including those under 18. We do not knowingly collect data from children under 13 without parental consent. If you believe a child under 13 has registered without consent, please contact us and we will delete the account immediately.

8. Data Security

We implement reasonable technical measures to protect your data including password hashing, HTTPS encryption, and secure cloud storage. However, no system is completely secure. Please keep your login credentials confidential and log out on shared devices.

9. Compliance

This policy is designed to comply with the Information Technology Act, 2000 and the IT (Amendment) Act, 2008 applicable to Indian users, as well as general international data privacy principles.

10. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top will reflect any changes. Continued use of the platform after changes constitutes acceptance of the updated policy.
